A POS system (point of sale system) is the software and hardware you use at the counter to bill customers, take payments, print receipts and update your stock automatically. A good POS also shows you daily sales, best-selling items and profit, so you can run your business from one screen.
What does a POS system do?
At its simplest, a POS replaces the calculator, the receipt book and the stock register. Every time you sell something, the POS:
- Adds the item to the bill by barcode scan or search
- Applies discounts, tax and the payment method
- Prints or sends a receipt
- Removes the item from your stock
- Saves the sale for your reports
Because every sale is recorded, you always know what is selling, what is running out and how much money came in today.
The parts of a POS system
Software is the heart of it. It holds your items, prices, stock, customers, staff and sales.
Hardware usually includes a computer, tablet or touchscreen terminal, a receipt printer, a barcode scanner and a cash drawer. Restaurants often add a kitchen printer or kitchen screen.
You do not always need new hardware. A custom POS can often work with the computer and printer you already have.
Signs your business needs a POS
You probably need a POS system if:
- You still write bills by hand or in a spreadsheet
- You do not know your exact stock until you count it
- Cash at the end of the day does not match your sales
- You cannot see sales when you are away from the shop
- You have, or plan to open, more than one branch
- Your tax rules require digital invoices (for example FBR in Pakistan or ZATCA in Saudi Arabia)
Ready-made POS or custom POS?
Ready-made POS apps are quick to start but you work their way. Monthly fees can add up and features you need may be missing.
A custom POS is built around how you sell — your items, your receipts, your reports and your tax rules. You own it, and it can grow with you. This is the approach we take at BrightExa Tech: see our POS system service.
What features should a POS have?
Look for these at minimum:
- Fast billing with barcode support
- Live stock with low-stock alerts
- Daily sales and profit reports
- Separate logins for each cashier
- Returns and discounts with permissions
- Backups, so you never lose data
Restaurants, pharmacies and wholesalers need extra features. Read POS for restaurants in Pakistan for an example.
Frequently asked questions
### Is a POS the same as billing software? Billing software only makes bills. A POS also manages stock, staff, customers and reports.
### Can a POS work without internet? Yes. A desktop or hybrid POS keeps billing offline and syncs later. See cloud vs desktop POS.
### How long does it take to set up? A first version is typically ready in a few weeks, depending on features.
